ACCOUNTS RECEIVABLE FOLLOW-UP

Advanced AR prioritization: deadlines, missing evidence and ownership

An AR worklist becomes useful when it leads to an appropriate next action.

An AR worklist becomes useful when it leads to an appropriate next action. This exercise combines deadline risk, evidence readiness and ownership. It uses a training priority system, not a universal industry ranking rule.

Read the three fictional accounts

Account A has a $90 open balance and a verified review deadline in three days. Account B has a $2,000 open balance, a recent request for missing documentation and a later verified deadline. Account C has a $500 balance with an unmatched payment reference. All three need work, but the next action differs. The exercise gives no permission to write off, collect or alter any balance.

Prioritize the decision, not the call count

A reasonable first action is to protect Account A’s near deadline through the appropriate authorized process. For B, identify who can supply the documentation and when. For C, investigate the payment match before contacting the patient or resubmitting a claim. A single queue sorted only by dollars would miss these differences.

Use a complete handoff

For each account, record the last verified state, exact missing evidence, available route, owner and next action date. A handoff saying pending does not tell the next worker what to do. If the responsible team cannot meet a deadline, use the organization’s escalation process promptly and document the limitation. Do not invent an extension.

Close only the resolved work item

A representative’s expected processing date is not a posted payment. A request for documents is not proof that the documents were received. Close a follow-up task when its stated objective is evidenced, while leaving any remaining account task open with an owner. This separates task completion from complete financial resolution.

Your fictional exercise

Write one next action for A, B and C and explain which you would address first under the stated assumptions.

Worked explanation

Address the near verified deadline on A first; assign and track the documentation request on B; investigate and reconcile C’s payment reference. Do not confuse an action taken with payment received.

Roman Urdu recap

AR mein sirf old ya bara balance nahin dekhein. Deadline, missing evidence aur next owner bhi important hain.

Your assignment

Write one next action for A, B and C and explain which you would address first under the stated assumptions.
